The team

Shoosmiths Conveyancing Team (Swiitch) offers a highly professional conveyancing service designed to make the process of buying or selling property as efficient and stress-free as possible for their clients. Shoosmiths remains the largest firm of conveyancing solicitors accredited under the Law Society's Conveyancing Quality Scheme.

The role

The Assistant Case Handler will learn the conveyancing process and protocols, be introduced to the Shoosmiths way in terms of culture and values and understand how to deliver exceptional customer service to clients and work providers. You will ultimately be able to assist the team in providing a quality and comprehensive conveyancing service with a customer service focus. This role will work in a trainee capacity aiming to progress to a Case Handler Role or Assistant Paralegal.

Please note, due to the nature of this role, it will be required for you to be in the office 5 days a week.

Main responsibilities
  • Acquire a basic knowledge of the entire conveyancing process with a view to being able to complete files from Quote & Inception to the point of contract issue and purchase files up to the point of receipt of contracts/searches commissioned.
  • Complete all required tasks for the role with a view to being able to confidently carry out such tasks with accuracy and with limited supervision.
  • Become familiar with departmental protocols, systems, portals, and processes (including targets, month-end dates, and audits).
  • Become familiar with the department’s key contacts (bank signatories, partners) and support teams (Finance, Post/Print room).
  • Maintain a professional and empathetic relationship with clients by understanding their expectations and progressing all matters proactively to meet such expectations.
  • Develop and maintain a professional relationship with all work providers with a view to establishing a good rapport and long-term working relationship. Keep clients, estate agents, and other work providers updated as appropriate. Be aware of the department's Work Providers.
  • Be an ambassador of the firm in all dealings with third parties involved in a transaction by remaining professional and delivering excellent customer care and service at all times.
  • Practice good housekeeping by ensuring electronic files are kept tidy, orderly, and up to date. Ensure files are always updated and accurate; tasks are managed daily and kept up to date; post and filing carried out timely.
  • Competently provide and explain a standard quotation to clients, open a new related file.
  • Complete post-completion administration when required.
  • Manage a specified pre-active file caseload or instruction case load in preparation for applying for a position as an Assistant Paralegal or promotion to Welcome Team Case Handler.

  • Ability to adapt to changing priorities and work under pressure.
