The team

Property and Workplace is the integration of processes within an organisation to maintain and develop the agreed services which support and improve the effectiveness of its primary activities. This encompasses multi-disciplinary activities within the built environment and the management of their impact upon people and the workplace. Effective estates management, combining resources and activities, is vital to the success of any organisation.

The role

We are seeking an experienced Receptionist /Estates Assistant to join our Estates Management Team in an exciting role which focuses on Client Services, providing an outstanding service to both internal and external clients in a  professional and unique setting.

You will be a key part of our Front of House Team and will work alongside our other Receptionist and the wider team, to ensure exceptional client experiences are created at all times.

Covering Receptions in the evenings for events is part of the role, and we require flexibility when certain tasks are needed.  Working as part of a team is a key part of this position.

Full training and support will be given.

In applying for this role, you will be primarily based on Reception, but supporting other parts of our Estates Team, including travel to other offices to assist when necessary.

Please note our client suite is located on the 20th floor of a high-rise city centre building.

As we have recently moved to this new location, we are still discovering what is expected of our team, so flexibility is essential.

 

Main responsibilities
  • Front of House meeting and greeting
  • Event organising from inception to completion
  • Ensuring our client suite décor and furniture is shown to a high standard
  • Working alongside our Hospitality Team to ensure exceptional service is given at all times
  • Responding to calls and emails professionally and promptly
  • Ensuring all health and safety paperwork and procedures are completed
  • Liaising with ground floor security and front of house
  • Creating spaces required for different styles of meetings
  • Competently ensure all audio-visual equipment is working
  • IT Help Assistant (training will be given)
  • Fire Marshal and First Aid (training will be given)
  • Any ad hoc duties to assist the smooth running of the Estates Team
Skills and qualifications
  • Experience in a hotel or corporate front of house role desirable
  • Ability to work as part of a team
  • Experience in organising events preferrable
  • Excellent personal presentation with a professional and respectful demeanour
  • Ability to understand nuances in situations and act accordingly
  • Adaptable attitude with the ability to work alongside, support and encourage colleagues
  • Manual handling training will be given
  • Excellent communication skills
  • Ability to take direction and instruction in a positive manner
  • Accuracy in all areas of work with attention to detail under pressure and timescales
  • Must be able to multitask with ease and composure when under pressure
  • Self-confidence and ability to demonstrate initiative
  • Ability to identify problems and act on them promptly and efficiently
  • Provide a high-quality service for both external clients and Shoosmiths employees
  • Highly accurate keyboard skills, using outlook, word, excel
  • Confidence in setting up audio visual equipment and troubleshooting during client meetings.
