The team

Our Real Estate group is one of the largest real estate teams in the UK, advising an impressive range of clients including commercial and residential developers, investors, major corporate occupiers and banks/funders. The role

Providing full PA and secretarial support to the Partners and Legal Advisors within the Real Estate team and, where required, cover any secretarial absences within the team where necessary. This role requires proactive thinking to support the needs of the Legal Advisor. This position is ideal for individuals aspiring to pursue a career as a Legal Personal Assistant.

Main responsibilities
  • Organising meetings and events internally and externally.
  • Preparation of draft emails and correspondence for approval.
  • Preparing engrossments ready for signing and sending out via post or DocuSign.
  • Opening and closing new clients and matters in line with best practice.
  • Undertaking all conflict checks and money laundering compliance on new clients and matters.
  • Preparation of expense claims and cheque requests.
  • Generating billing guides for Legal Advisors and assisting with billing on a monthly basis.
  • Monies out and monies in indents.
  • Assembling and managing data rooms.
  • Assisting commercial property searches.
  • Collating and preparing weekly reports.
  • Updating Interaction with client contact details.
  • Responsibility for ongoing client file management and archiving projects.
  • Filing of incoming and outgoing post and correspondence.
  • Answering the telephone and communicating effectively and confidently with clients.
Skills and qualifications
  • Ideally looking for an individual with some office experience, eager to continue to build on their experience.
  • Good keyboard skills and knowledge of Outlook, Word, Excel, a Document Management System, Searchflow or similar.
  • Highly efficient and proactive.
  • Have the ability to work under pressure and meet tight deadlines.
  • Attention to detail and possess a neat and tidy approach to working practices.
  • Excellent organisation skills and IT skills.
  • Confident telephone manner.
  • Ability to work independently or in a team.
  • Ability to maintain high standards whilst carrying out day to day tasks around the office.
  • Friendly, positive ‘can do’ attitude.
